The Director of Finance and Operations has full functional responsibility for all financial, personnel and administrative operations of the Arts & Lectures unit. As part of the senior management team, the Director of Finance and Operations serves as an advisor to the Executive Director and Associate Director on high-level matters of critical importance, creating and implementing short and long-range strategic financial, personnel, and operation plans and goals. Directs contractors, vendors and departmental staff at select A&L events and has the autonomy and authority to represent the organization at high level meetings and events. Serves as a senior point of contact in the absence of the Executive and Associate Director. Responsibilities include management of all Arts & Lectures finances, including complex income accounts exceeding $10 million annually, as well as management at the department level of the Arts & Lectures $30 million endowment campaign funds. Has delegated signature authority for all Arts & Lectures funds (over 40 account-funds). Additionally, the A&L unit is granted procurement authority to execute contracts for professional services in excess of $3 million annually; the Director of Finance and Operations established structures, policy and procedure to ensure success in delegation and auditability of all department transactions. Handles high level contractual negotiation with agents/artists/managers under the Associate Director in support of Associate Director's contract delegation authority. Responsible for complex financial reporting, including economic forecasting and modeling, projections on investment income, and advising the Executive Director on financial strategies and risks. Prepares reports and presents on financial performance and projections to the Arts & Lectures Finance Council (sub-committee of the Board) on behalf of the Executive Director. Consequence of error in financial reporting and advising is exceptionally high impact. In addition to short- and long-range strategy, is responsible for directing the administrative operations of the Arts & Lectures organization on a day-to-day basis with broad impact, autonomy and authority to act, including managing the needs of all personnel (25 Career Staff, numerous limited appointment staff, and ~70 student assistants) and managing all space and facility needs for A&L. Exercises a high degree of autonomy in addressing departmental issues and creating departmental policy. Independently identifies issues, initiates research, interprets information, and acts on issues regarding personnel, space and facilities management, grants management, accounting, travel, payroll, procurement, contracting, and business services. Under severe time constraints, solves a variety of complex problems that require using professional experience, operational and organizational knowledge, and a thorough understanding of Federal, State, UC and University policies and procedures.

T Custom Scope Description Responsible for managing the administrative operations of a school, OR a medium to large academic department, OR several small departments within a college, OR a medium to large non-academic department. Typically includes all or most of the following functions: IT, facilities, student services, contracts and grants, budgetary financial management and / or human resources. Manages a professional staff, typically large, and / or comprised of professionals in various fields. Assumes accountability for decisions made by subordinates. Performs long and short-term planning for function. Erroneous decisions or failure to achieve goals results in additional costs and personnel, and serious delays in overall schedules. 

• Bachelor's Degree in related area or equivalent experience and/or training.

• 4-6 years’ experience managing the operations of a complex, multi-faceted, and deadline-driven organization. 

• 4-6 years’ experience managing space, personnel, IT infrastructure, and physical resources. 

• 4-6 years’ experience in the negotiation, execution and administration of complex contracts.
