Reporting to the Executive Director of the Picker Center for Executive Education, the Assistant Director has comprehensive responsibility for overseeing all aspects of the financial operation of the Center. S/he works closely with the Executive Director in directing a $2M annual expense budget for the Center's Executive Master of Public Administration Program (EMPA), non-degree executive education programs, and the Digital Education Group. Serves as the Center's primary liaison with the SIPA Human Resources Office on administrative recruitment, hourly appointments, and compensation related to non-degree programming.
Forecasts, analyzes and reports on the Center's revenues. Using the University's Accounting and Reporting at Columbia (ARC) system, provides regular forecast updates, reconciling and analyzing month-end balance reports, identifying emerging resource shortfalls, targets for fund reallocation, etc. Works closely with the Associate Director of Marketing and Recruitment to develop tuition revenue estimates against established enrollment targets.
Working closely with the Executive Director, exercises comprehensive oversight on all spending in Center accounts. Duties include monitoring and reconciling expenses and preparing tracking reports as requested, assisting with overdraft prevention and elimination, and ensuring the Center's compliance with internal audit, IRS, government and private agency regulations on financial disbursements, etc. Oversees purchasing activity and contract related financial matters. Negotiates consultant service agreements and vendor purchasing agreements with third parties. Oversees processing of invoices, purchase orders, consulting contracts, P-card use, travel and business expense reports, and travel advances. Assists with processing financial transactions using Columbia University's ARC (Accounting and Reporting at Columbia) accounting system as needed.
Serves as the primary liaison on financial matters between the Center and the SIPA Business Office, including assessing, forecasting and monitoring the state of the Center's revenues and expenses. Participates in SIPA's monthly expense review and verification process. Meets regularly with the School's financial planning office to review budget and accounting, contract management, and vendor processing. Provides updated revenue forecasts and expense estimates on a quarterly basis and prepares tuition and other statistical addenda as needed.
Working closely with the SIPA Human Resources Office, coordinates the Center's recruitment of administrative, student and hourly staff. Ensures the Center's compliance with related human resource policies, including attendance tracking, timesheet submission, etc.
Manages compensation for executive education programs. Duties include providing salary expense forecasts and liaising with the SIPA Human Resources Office on requests for additional compensation and temporary staffing assignments.
Bachelor's degree or equivalent required.
Three years of directly related administrative experience required, including experience in financial and human resources administration.
Must have excellent organizational, interpersonal, and verbal/written communication skills.
Strong computer skills with thorough proficiency in the use of spreadsheets (Excel), database programs and PowerPoint required.
Must have prior experience working with financial accounting systems.
Strong customer service orientation with a deep commitment to valuing diversity and contributing to an inclusive working and learning environment required.
Must be detail-oriented and deadline driven with good time management skills.
Must be a team player and self-starter.
Advanced degree in a related field, such as higher education financial administration or business administration preferred.
Familiarity with Columbia University's ARC (Accounting and Reporting at Columbia) accounting system preferred.
