Founded in 1973, Woodstock Day School is a progressive, independent school set on a 40-acre campus in New York’s glorious Hudson Valley. Director of Administration & Finance
The Director of Administration & Finance reports to the Executive Director and plays an integral role as a thought partner to the Executive Director. He/she also plays an integral role as a member of the school’s senior leadership team responsible for strategic decision making. The successful candidate will be a hands-on, collaborative, participative, and mission-centered manager who works closely with the Executive Director, the Board of Trustees, the senior leadership team, staff and faculty, parents, and external partners to ensure the school operates in a financially sustainable manner and that its financial policies and priorities align with the school’s mission and strategic vision. The Director of Administration and Finance also works closely with the Executive Director in making the school a positive and fulfilling work environment for all staff and faculty by guiding the fair and equitable creation and application of human resources policies and processes for the school.
Direct and manage the finance functions of the school in accordance with generally accepted accounting principles (GAAP) and develop effective internal control policies.
Keep the senior leadership team, Executive Director, Board of Trustees, and budget managers updated on the financial status of the school through timely and accurate reports, including forecasting and budget variances, monthly and annual financial statements, and other needed or requested financial reports.
Manage organizational cash flow and forecasting. Ensure that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
Coordinate and lead the annual audit process, liaise with external auditors and the Finance Committee of the Board of Trustees. Ensure timely and accurate tax filings.
Together with the Executive Director, co-lead the organization’s annual budgeting process, in strategic partnership with the senior leadership team, the Finance Committee of the Board of Trustees, and relevant budget managers to ensure sufficient resources to meet both day-to-day needs and the strategic vision of the school.
With the Executive Director and budget managers, co-develop budgets and provide financial reports for the school’s auxiliary programs and grant-funded programs.
Develop and oversee financial policies, procedures, and internal controls to safeguard assets, protect confidential information, and ensure accurate financial reporting.
Update and implement all necessary business policies and accounting practices, including developing and maintaining a financial policies and procedures manual.
Manage all banking relationships, cash flow, loans and lines of credit.
Assist the school in identifying and securing alternative revenue streams.
Human Resources Administration
Manage and oversee the school’s human resources functions, including: recruitment and hiring, benefits administration and oversight, new employee orientation, and employee retention strategies
Develop and update the school’s employee handbook
Further develop the school’s human resources through professional development opportunities, compensation and benefits, performance evaluation, training, and recruiting
Ensure that recruiting processes are consistent and streamlined
Establish and manage a training program to educate employees regarding staff tools, policies, and procedures
Ensure that human resources policies and practices are current with best practices, legally compliant, and are clearly articulated and consistently applied
In partnership with the Director of Admissions, help facilitate the enrollment of new students and re-enrollment of current students through the creation and distribution of student contracts and relevant communication
In partnership with the Financial Aid Committee, manage the financial aid process and ensure awards are in accordance with the school’s stated policies.
Review and implement insurance policies needed to effectively manage risk.
Analyze need for additional support staff for finance functions; hire and supervise either an accounting assistant/bookkeeper or human resources specialist

Desired Qualifications & Qualities
A bachelor’s degree in accounting or finance required; MBA or CPA strongly preferred
At least 7-10 years years of related professional experience, with at least 5-7 years experience working in a non-profit and/or school-based environment
Proven success in a senior administrative role, including previous experience working with a Board of Trustees
Previous experience overseeing human resources functions, preferably in a non-profit and/or school-based environment, with demonstrated experience investing in and developing staff and positioning them to succeed and a strong commitment to implementing fair, transparent, equitable, and financially sustainable human resources practices.
Exceptional capacity for building relationships and working collaboratively with people.
Willingness to work in close partnership with other organizational leaders and the Board of Trustees to help fulfill the vision and strategic goals of the school.
Ability to translate financial concepts to and to effectively collaborate with colleagues who do not necessarily have finance backgrounds.
Excellent oral and written communication skills. Strong technology skills, experience with Quickbooks, able to easily learn new software programs, and a desire to work smarter not harder.
Keen organizational and analytical skills with an attention to details.

Salary $60,000-$70,000, dependent on experience. Benefits include generous paid time off, health insurance stipend, retirement plan, and tuition discount for children of employees enrolled at the school.
