Director of Finance and Operations – Peoria Academy

In collaboration with the Head of School, the Director of Finance and Operations will manage the school’s budget, personnel resources, and physical plant. The role requires financial, personnel management, organization and project management skills. Duties: • General Accounting: Monitor and maintain accounting system in order to produce timely and accurate financial reports, prepare and enter journal entries as needed. Prepare monthly bank reconciliations. Prepare monthly financial reports and analyses for Board Finance Committee and full Board, facilitate and attend Finance Committee meetings. Prepare accounting records for annual independent financial statement audit, prepare audit workpapers, draft audit report, host audit team. Develop and maintain accounting system internal controls and accounting procedures manual. Monitor and manage cash flow. Coordinate budgeting process. • Accounts Payable: Write checks to pay bills in a timely manner, obtain authorized signature on checks, distribute checks to vendors, file paid bills. • Accounts Receivable: Oversee entry of charges on customer accounts, review accounts for accuracy, issue monthly statements, record payments on accounts, maintain customer payment methods records. Withdraw funds from customer bank accounts for ACH tuition and fees payments, compute and record service fees on customer accounts and charge customer credit cards for EFT tuition and fees payments, prepare and deliver bank deposits for check and cash payments. Record all receipts in customer accounts. Record receipt of donations, maintain donor database, provide information to fundraising staff for acknowledgements. Monitor customer past due balances, record late fees on accounts, follow up on past due accounts with payment reminders and collection agency. • Buildings and Grounds: Oversee effective management and upkeep of the school’s buildings and campus, supervising the office manager and buildings and grounds associate to provide the best learning environment for our students. • Vendors: Collaborate with Assistant Head of School in managing contracts and warranties for vendors providing services to the school. Organize bidding processes for new vendors, cyclically bid out existing work, annually review vendors and otherwise insure that the school is getting best of class/cost services. Issue annual Forms 1099 for payments to independent contractors. • Financial Aid: Coordinate student financial aid process, including communications with parents, providing information to Head of School for aid decisions, issuing award notifications, and recording aid on customer accounts. • Payroll: Collect timesheets, contracts, employee change forms, and other payroll input, record payroll information in spreadsheet, enter data in payroll processing system. Distribute paychecks, record payroll in general ledger, maintain payroll registers and tax reports. • Petty Cash: Maintain petty cash box, record transactions, replenish cash as needed. Maintain event cash boxes used to make change at events, record transactions, deposit receipts, replenish cash as needed. • Conduct new employee orientations. Collect required employment paperwork. Communicate benefits enrollments and changes to providers. Maintain personnel files. Communicate necessary information to payroll. • Coordinate employment recruiting efforts, including internal and external advertising and job fairs. • Advise and assist with employee performance evaluation and disciplinary actions, maintain all personnel files. • Oversee the school’s data systems and manage the technology consultant • Coordinate employee benefits program.

• Bachelor’s degree or equivalent in accounting or a closely related field required; Masters degree, CPA or CMA preferred. • One year experience in general accounting required; nonprofit or education industry experience preferred. • Proficiency in computerized accounting systems required.
