The UWM-UW FINANCE TRANSFORMATION – DESIGN DIRECTOR is a LIMITED TERM PROFESSIONAL STAFF POSITION - The approximate period of performance for this role will be August 3, 2021, and the work tasks are estimated to continue through December 31, 2023.
The UWM-UW FINANCE TRANSFORMATION – DESIGN DIRECTOR will manage the overall UWM-UWFT design work in support of the transition to Workday. This includes leading a team of Business Analysts, developing and managing the work plan, assessing impacts of design decisions, engaging the right leaders and stakeholders, and creating alignment across multiple teams including Design, Technology, Data Conversion and Testing.
The diverse systems, business processes, and data present across UW Medicine entities (UWMC-ML, UWMC-NW, HMC, ALNW, UWP and UWNC) will require the Design Director to manage a number of resources executing on design deliverables on behalf of UW Medicine. The Design Director will provide leadership to these resources to define goals, objectives, and processes required to meet the deliverables.
The Design Director will manage multiple functional activities of the project including current/future state mapping, requirements definition, foundation data model design, solution design, and testing activities.
The Design Director will own coordination of design activities with the larger UW Finance Transformation program, working with the program team to align the scope, quality and business objectives within schedule and budget constraints. Design Director will have responsibility for leading project staff and subject matter experts across UW Medicine and coordinating the activities of vendor and consulting team members.
The Design Director must be able to work in a fast-paced and quickly changing program environment.
The UWFT program is a very high profile, strategic program and the outcome will be highly visible at all levels across the University. The Design Director is a key resource for the UWM-UWFT team and will contribute to the overall successful outcome.
Draft and manage a work plan with timelines for all in-scope processes and deliverables.
Document risks, issues and decisions in Jira and help develop risk mitigation strategies.
Facilitate meetings with subject matter experts, stakeholders, and technical staff.
Define and document work required and level of effort and time to complete the defined work.
Guide and direct Finance, Accounting and Supply Chain project team members, encouraging teamwork and collaboration.
Provide routine status, issue, risk and change impact communications to UW Med/UWFT Program leadership.
Coordinate work efforts and share updates with other UW Med/UWFT PMs.
Act as a senior member of the UWM UWFT program teams.
Act as the primary liaison with the UWFT program for Medicine UWFT Design efforts and deliverables.
Work with the UWFT program to ensure there are clearly defined program processes and models that govern UWFT and UW Medicine UWFT requirement management and design efforts.
Define and manage through their lifecycle UW Medicine UWFT Design risks, issues, and decisions per the agreed to process.
Provide timely and accurate Design status updates for the UWFT program, UW Medicine UWFT program, and UW Medicine leadership
Foundation Data Model (FDM) – UW Medicine is transitioning off of 6 separate financial systems, all with disparate chart of accounts. The Medicine FDM work includes alignment and translation of these legacy Medicine ERP charts of accounts to the new Workday FDM as well as participation in designing the Workday FDM which will support both UW Academy and UW Medicine operations.
Manage the assigned FDM design PM and provide support as needed.
Ensure project plans are updated per the agreed to cadence.
Coordination with Medicine UWFT Systems Integration, Information Delivery (Reporting), and Data Conversion Teams
Work with the UWM leads for each of these areas and the UWFT Process Transition Teams (PTT) to develop, coordinate, and manage the integrated project plan.
Define and continually improve the process to define and manage business requirements through their lifecycle.
Ensure Medicine UWFT design teams identify, document, and inform the Systems Integration, Information Delivery, and Data Conversion teams of new requirements.
TEAM LEADERSHIP AND FACILITATION
Direct the work of 10 Accounting Business Analysts and SMEs in support of UWM-UWFT requirements and design work.
Provide support to UWM Subject Matter Experts (SMEs) to manage and balance operational and project work, prioritize tasks, act as the liaison to the UWFT program, provide UWFT program updates, and provide other support as needed.
Build effective working relationships with project team members and key stakeholders who will coordinate with the Design Director in a matrixed relationship.
Conduct regular team meetings and meet frequently with project and business stakeholders.
Direct the work of team members as needed to ensure deliverables are met
Ability to coach and mentor team members
Ability to advocate and help remove roadblocks to team's success
Ability to hold people accountable
REQUIREMENTS: Bachelor's degree in Business or related degree 6 to 8 years experience:
Demonstrated project management experience in large, complex organizations
Strong executive presence and political savvy
Experience with formal project management methods and tools
Experience with requirements management and design
Experience working with accounting and supply chain
Experience leading ERP system conversions and upgrades
Experience using or building technical frameworks to organize data
Ability to work independently and with minimal supervision in a virtual environment
Ability to work collaboratively with stakeholders, UWM/UWFT program leadership, and other project managers
Experience with large multi-entity ERP system implementations including transition from multiple disparate to single new chart of accounts
Experience facilitating meetings, constructively addressing input and resolving conflicts
Working knowledge of phases of the systems development lifecycle
Proficiency in MS Office tools
Proficiency with virtual meeting tools such as Zoom and MS Teams
Advanced project management soft skills, including ability to earn the trust of stakeholders, tenacious problem ownership, and a dedication to customer advocacy
Excellent verbal and written communication skills
Strong problem-solving skills
Equivalent education and experience may substitute for requirements
Experience working with UW Medicine or in a comparable academic medical center environment
Understanding of Workday implementation concepts
Experience with Jira and Smartsheet
CONDITIONS OF EMPLOYMENT: This position will be REMOTE until the State of Washington lifts the “Stay at Home” order, and UW Medicine provides approval for staff to work onsite. If/when restrictions are lifted, this position will have the option to be 100% remote or be based onsite at the University of Washington Tower, 4333 Brooklyn Ave NE, Seattle and may travel to other UW Medicine locations as required.
