Job Summary The Director of Finance & Administration for the A.J. Drexel Autism Institute (AJDAI) must show strong leadership and supervisory capabilities, have experience providing strategic-level advice to executive leaders, be adept and interested in communicating with small project-focused teams, be prepared and experienced at leading large and small meetings, and be motivated and willing to develop financial proposals, reports, and forecasts. The incumbent will actively support and foster an inclusive and welcoming environment, following the Drexel imperative to help build a sustainable culture of education, scholarship, and collaboration. The Director of Finance and Administration will be an active member of Autism Institute leadership and have opportunities to engage in institute initiatives such as the Diversity & Inclusion committee and community outreach. Essential Functions - Supervise the finance and administration team that supports and facilitates the work of AJDAI, including all program areas and administrative units. This includes personnel and functions supporting human resources and payroll, budget and financial operations, sponsored research administration, executive support, office management, and information technology.
- Support the professional development of all personnel within these areas, including regular mentorship and coaching.
- Participate in strategic decision-making, office-wide communication, and senior leadership for AJDAI.
- Manage space allocation, facilities maintenance, and renovation projects.
- Serve as a primary point of contact to all internal offices, including Office of General Counsel, Office of the Provost, Office of Research & Innovation, Office of the Comptroller, Office of Budget and Financial Planning, Research Accounting Services, Office of Privacy, Procurement Services, Facilities and Real Estate, Information Technology, as well as external departments, agencies and individuals.
- Serve on various University committees, task forces, and advisory boards and panels as needed.
- Manage communication to all relevant personnel of any deadlines, updates, or changes in University policy or procedure related to financial, human resources, or administrative matters, e.g., annual performance development processes, changes in P-card policies, or new processes affecting operations.
- Develop operating budgets and reporting tools to support budget management in conjunction with the Office of Budget & Financial Planning and the Office of the Provost.
- Manage all funds including operating budget, restricted funds, and designated funds, ensuring transactions are properly recorded and entered into financial systems such as Banner, Smart Source, and WebFinance with attention to month- and year-end financial close dates.
- Engage in special projects with Institute faculty and staff, contributing to the development of business plans for initiatives such as consulting services and training programs.
- Review and approve high-level financial transactions for AJDAI.
- Identify, quantify, and interpret variances in actual vs budget to support recommendations for operational and strategic decisions.
- Direct day to day business operations and transactions including revenue tracking, purchasing, accounts payable and receivable activities, and payroll including payroll reconciliation. Reconcile and resolve accounting discrepancies with appropriate university offices and external vendors.
- Oversee, review, and approve all Human Resources activities including recruitment of faculty and staff, employee relations, hirings, promotions, stipends, supervisor changes, and terminations units within AJDAI ensure accurate and timely appointments and payments and compliance with University policies and procedures. Oversee student employment and temporary hiring and employment issues. Direct and resolve payroll and payment issues.
- Develop and implement policies and procedures around fiscal controls and financial processes.
- Manage purchasing card statement review and approval process for all AJDAI cards in order to maintain compliance with University policies on a monthly basis.
- Provide input into non-standard federal agency business proposals (e.g., state and local contracts, internal University-based initiatives) being developed and executed.
- Support financial management of external funding portfolios.
