Job Description
- Approve, manage, and record all financial transactions both expenditure and revenue to the Athletic Department's departmental operational accounts and departmental fundraising accounts.
- Process, verify and reconcile departmental business operations, including invoices, deposits, check requests, travel expense forms, purchase orders, and credit card statements.
- Oversee, reconcile and consult with director on status of all departmental and camps budgets.
- Supervise athletics event management/facility scheduling and staffing of athletics home contests.
- Collect and review countable athletically related activities logs. Accept or flag for additional review.
- Manage guest pass lists for home contests and ensure this process is in compliance with NCAA Division I rules.
- Maintain and submit reports and forms related to student-athlete financial aid, scholarship renewals and reductions.
- Maintain a working list of current and incoming student athletes.
- Oversee athletics financial transactions to ensure compliance with NCAA Division I and/or Ohio Valley Conference rules.
- Evaluate the department's annual operating budget request and make recommendations to Director of Athletics.
- Prepare and file annual financial statements and reports for campus, the NCAA, and the OVC Conference
- Assist in the preparation of departmental, university, NCAA and government reports, studies and surveys.
- Assist the Director of Athletics in advising and consulting with coaching staff and directors to interpret program financial needs and questions, policies and procedures.
- Act as a resource for coaches and staff in the purchasing of equipment and supplies.
- Act as the primary resource for the coaching staff during the completion of travel related financial paperwork.
- Act as the primary contact for coaches and staff during the reimbursement process and assist as needed with completion and approvals of reimbursements.
- Act as the primary contact for coaches who wish to rent athletics facilities to third parties and ensure paperwork and procedures are coordinated with Campus Events Department.
- Initiate budget transfers and expense transfers requested by the department.
- Work with the University Advancement to process donation checks, track balances and manage the expense processing for fundraising accounts.
- Initiate requests to establish, rename, and delete Division/Unit accounts as needed.
- Implement and monitor control systems.
- Prepare customized monthly budget reports for all sport programs and auxiliary units.
- Oversee financial contracts with external agencies and miscellaneous duties and have designee signatory authority to enact such contracts to include handling capitation fees, invoices and payments; handling other contracts with federal, state, and community agencies.
- Assist in representing the department in appropriate committee and unit meetings as needed.
- Responsible for coordinating new-hire on boarding with human resources, including instructing coaches and new hires in the use of Banner accounts, email and other University systems.
- Supervises at least two (2) work study students in the office area and processes all student worker paperwork.
- Oversee completion and submission of all tuition remission requests for dependents and graduate assistants.
Additional Duties and Responsibilities (Non-Essential Functions):
- Assist with planning and execution of Athletic Department Special Events (Homecoming, Hall of Fame, Student-athlete recognition).
- Maintains inventory and orders all office supplies.
- Coordinate scheduling and maintenance of four vans for usage by athletic teams and all other departments on campus.
Minimum Qualifications/Experience
- Bachelor's degree in business or related field. Master's degree preferred.
- 5+ years of experience in intercollegiate athletics preferred
- 5+ years of relevant experience in accounting, business, financial or human resources.
- Excellent communication, relational, computer and team skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, SharePoint)
- Or, an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
