The Director of Finance position provides leadership and direction to the finance functions for the Society. This position manages, directs, recommends, implements, monitors, and administers financial policies and procedures. This position is responsible for finance and accounting, financial reporting (including tax filings), budgetary controls and grants management. The Director of Finance is an active member of the Leadership team, reports to the CEO, and manages direct reports. Essential Functions Finance and Accounting - Provide expertise and guidance on all finance and accounting related issues and ensure compliance with appropriate federal, state and local requirements.
- Develop, implement and maintain financial systems, policies and procedures to ensure accurate financial reporting and effective internal controls.
- Oversee management of financial operations including general ledger, A/R, A/P, cash management, etc. Ensure that financial transactions are reported on an accurate and timely basis.
- Manage semi-monthly payroll process including payroll, timekeeping, leave accruals, and other benefits.
- Serve as plan administrator for the Society’s 403b plan. Manage and coordinate with outside vendors for plan administration, compliance, reporting, testing, and investment advice.
- Oversee and coordinate with Vanguard to manage the firm’s investment portfolio.
- Coordinate and manage the charitable registration process with outside vendor.
- Partner with Director of HR and Administration for open enrollment, benefits administration, payroll and salary administration, and 403b plans.
Financial Reporting - Generate timely and accurate financial management reports and analysis on a monthly basis and as needed.
- Prepare year end forecasts for reporting and management planning as required.
- Clearly and accurately explain the financial results of the Society.
Financial Planning - Manage all aspects of the budget process and present integrated Society budget to CEO, Finance &Audit Committee (F&AC) and Council for review and approval.
- Partner with CEO and program directors to develop financial strategies for organization including identifying business process improvements, new revenue opportunities, and cost efficiencies for the Society.
Audit and Tax Returns - Oversee all aspects of preparation for and execution of annual audit including auditor communications.
- Accurately provide information for accounting firm to prepare 990, 990-T, and state tax returns in a timely manner. Review and approve draft tax returns
- Provide information to outside firm to prepare all returns for the 403b plans including form 5500.
Financial Interface - Coordinate and manage the financial interface between the Society and government agencies (federal, state and local), banking relationships, merchant accounts, investment managers/advisors, payroll service and other vendors.
- Serve as staff liaison to the F&AC which entails direct interactions with the ASCB Treasurer and managing the preparation, accuracy and financial reports for spring and fall meetings and other meetings as necessary.
- Present financial results to ASCB Council at the spring and fall meetings.
Staff Management - Manage direct reports to ensure accurate, timely and effective day to day operations of finance department.
- Provide appropriate training and career development to maximize the contribution of each direct report.
- Share performance feedback on a regular and ongoing basis.
Grants Management - Oversee the management of all grant activities and serve as financial liaison with all grant authorities.
- Review and help prepare annual indirect cost proposal for timely submission to cognizant agency.
- Negotiate indirect cost rate with agency as appropriate.
