The Director of Finance and Administration will provide strategic financial guidance and ensure financial integrity and accountability. The Director will lead strategic financial planning, supervise/conduct all financial operations, and manage key administrative areas. The Director must be skilled in making financial information relevant and relatable for staff and stakeholders and dedicated to building rapport and positive team working relationships. The ideal candidate must be adept at working in a fast-paced, flexible and hands on environment. ESSENTIAL JOB DUTIES & RESPONSIBILITIES: Accounting and Financial Management - Ensure maintenance of appropriate internal controls, and efficient financial systems and financial procedures.
- Ensure that transactions and financial decisions adhere to grantor regulations and regulatory requirements,
- Generate timely monthly, quarterly, yearly and project specific financial reports in compliance with Generally Accepted Accounting Principles (“GAAP”).
- Oversee audit activities and ensure compliance with government and donor regulations.
- Coordinate with the leadership team and staff to create and manage the annual organizational budget.
- Assist in development of budgets for grant and contract proposals
- Manage external agreements (including grants, sub-grants, sub-contracts, personal services agreements, memos of understanding, etc.) and solicit legal advice when needed to ensure compliance with applicable government rules and regulations.
- Oversee and provide technical assistance and training to staff on finance , quality assurance, corrective actions, record management and compliance.
- Develop and utilize forward-looking, predictive models and activity based financial analysis to provide insight into the organization’s operations and business plans including cash requirements.
- Conduct financial planning, analysis and forecasting with scenarios to inform leadership decision making
- Engage the finance committee of the board of directors to develop short-, medium-, and long-term financial plans, projections and investment strategy.
- Optimize the handling of cash flow using appropriate strategies to maintain cash thresholds to meet operating needs
- Oversee the bi-weekly payroll to ensure adherence to government regulations as well as the organizational policy for benefits.
- Understand and mitigate key elements of the company's risk profile.
- Ensure all insurance policies are reviewed and renewed on an annual basis
- Oversee self-funded unemployment insurance.
- Represent the company to financial partners, including donors, auditors, public officials, bank, etc.
Administration - Oversee the Information Technology function, in conjunction with the Chief Operating Officer.
- Lead optimization of digital technology use to support organizational effectiveness
- Serve as a plan administrator on 403b account including administrative support, payroll, and benefits.
- Ensure all insurance policies are evaluated and renewed on an annual basis
- Oversee the expense and purchasing guidelines, including the corporate credit card program.
- Manage the procurement process, physical infrastructure - including office and storage spaces, and support systems (e.g. phone, security, supplies) with assistance from support staff
- Oversee and maintain the facility operations including inventory management and reconciliation, order fulfillment, shipping/receiving and facility maintenance.
- Maintain effective working relationships with SI’s external partners
