Position Summary:

The Budget and Finance Analyst will oversee the day-to-day operations of the Provost Office Budget Analyst team. This position will be responsible for tracking and reporting on all commitments made within the Provost office; ensuring budget and actual transactions are put into various University systems appropriately; communicating promptly with internal and external customers; researching and responding to questions as required; performing reconciliation per policies and procedures; coordinating prompt access to various systems; ensuring financial activity complies with University policies and procedures.

Responsibilities:
Reporting to the Director of Budget Operations, the Budget and Finance Analyst will be responsible for:

• Budget Development, Support, and Expenditure Management
  • Manage the commitment tracking, documentation, and reporting of all Provost resources;
  • Ensure budget and accounting adjustments and payments are made in a timely manner in various systems;
  • Oversee purchase card approvals to confirm purchase card users followed procedures and policies, and purchases are accounted for in an appropriate manner;
  • Coordinate and perform monthly reconciliations on all Provost funding sources per University policies and procedures;
  • Process payments and cash receipts as required;
  • Ensure chart of account changes are processed in a timely manner;
  • Investigate and report on previous payment/commitments in various systems;
  • Audit purchases regularly to ensure they are following procedures and policies; and
  • Communicate with various internal and external customers about progress regarding budget matters.
• Access Management
  • Monitor requests for access to various financial, HR and student systems, and update customers on the progress of their requests regularly; and
  • Assist the Director of Budget operations with the annual reviews, including but not limited to, eVA, BSOs, signature cards and student access.
• Special Projects
  • Prepare reports and spreadsheets as assigned; and
  • Perform other duties as assigned.
    
    

Required Qualifications:

• BA/BS degree or equivalent combination of education and experience;
• Strong communication skills (written and verbal);
• Strong critical thinking skills;
• Knowledge of accounting procedures and software;
• Detail oriented with the ability to track information from multiple sources and provide concise, easily understood summaries encompassing all data;
• Experience in an office environment;
• Customer service experience with both internal and external clients;
• Demonstrated experience with researching solutions to various challenges;
• Reconciliation experience;
• Intermediate to advanced MS Office skills in Word, Excel and Access;
• Experience using Adobe editing software;
• Ability to follow and interpret rules and policies;
• Ability to maintain a harmonious working relationship with a population of diverse individuals; and
• Ability to maintain confidentiality.
  
  

Preferred Qualifications:

• Advanced experience working with Excel and Access;
• Knowledge of Mason's administrative software programs and/or previous work in administrative support at Mason (Banner, Microstrategy, Microsoft Teams, eVa); and
• Experience in financial management.

Salary: Commensurate with education and experience.
