Under the direction of the Department Manager, this 75% time position provides administrative support to the Department of Classics, the Humanities Language Learning Program, and the programs in Jewish Studies, Persian Studies and Religious Studies, and other small curriculum programs. Primary responsibilities include scheduling classes, processing reimbursements, and purchasing, planning events, coordinating course evaluations, and maintaining unit websites. The incumbent will provide instructional support to faculty, lecturers and TAs and general administrative support to the department chair and program directors. During the manager's absence, the incumbent will serve as the primary administrative contact for faculty, administrators and students.
Ability to monitor expenditures on multiple accounts, funds, subs and project codes. Ability to accurately summarize financial data and develop written or verbal reports. Ability to constantly re-prioritize responsibilities and organize multiple projects to complete work in a timely manner in an environment with frequent interruptions.
Demonstrated ability to communicate professionally, effectively, and diplomatically, both orally and in writing, in order to obtain and convey information with various levels of staff, faculty, and students and with the public and private sectors. Ability to establish and maintain effective working relationships with faculty, department and campus staff, and students with various backgrounds. Ability to perform mathematical calculations with a high level of accuracy. Ability to handle all department matters with discretion and confidentiality. Skill to work independently and yet have the ability to effectively collaborate and coordinate with others. Skill in a Mac and/or Windows environment, Microsoft Office (Excel, PowerPoint, Word), an email application and internet applications in daily duties.
Proficiency with UCI accounting systems and forms.
Previous experience in an academic department or program.
Working knowledge of University Scheduling Program (ESOC) and UCI policies and procedures for undergraduates, student records and course scheduling.
Working knowledge of UCI academic instructional cycle, and of policies and procedures governing course scheduling, student enrollment, course evaluation and grading.
Knowledge of Electronic Educational Environment (EEE) Tools including, but not limited to the creation and maintenance of class websites, use of note boards, course or teaching evaluation and survey functions.
Experience maintaining content on websites.
Experience coordinating events.
