Reporting to the Executive Director of Finance and Administration, the candidate will be responsible for the administration, maintenance, enhancement, high-level support for key CUIMC Facilities Management information systems. The incumbent will be the department's key system and IT resource to help guide new implementations and initiatives as well as to make sure new systems fit within the departmental system framework and overall strategy.
Applying database expertise to improve the automation and efficiency of existing departmental systems and coordinate the development of new systems that build off of existing University systems and the financial data store.
Working with the central IT staff, ensure production environment stability and provide continued support to departmental users.
Interface in a liaison role between the department and central information technology department regarding system issues and evaluation of the impact of new technologies
Provide alternatives and recommendations based on best practices and application functionality
Understand all departmental business processes; how existing systems support the processes and apply this knowledge to best solve problems and improve delivery of services to our customers
Develop ad hoc reports as needed and assist others in report development and enhancement. Work with managers to troubleshoot report issues
Run and distribute reports; run recurring interfaces with other systems
Working with the Executive Director of Finance and Administration, provide reporting solutions that supply data from multiple systems
Managing user roles and securities
Other related duties as assigned.
Summary of Specific Duties
Specific duties that support the current suite of CUIMC Facilities Finance Systems and Applications the following duties are performed include but are not limited to the following:
Oracle-Primavera/Unifier: Maintain/update existing Business Process, monitor daily feeds of Budget and Vouchers to ARC, Maintains user accounts, permissions, etc. Act as point person with other stakeholders for modification to BP and report creation and maintenance.
Kronos: Maintain pay rules and accrual rules, Assist in a back-up capacity for the processing of weekly and biweekly payrolls, Prepare weekly payroll interface files and transmit to PAC, Manage early payroll processes, and Troubleshoot time clock/data collection issues.
ARC -Daily monitoring and approval of automated vouchers and budget feeds (Unifier, Vpay, and Storeroom). Maintenance and approval of all inter-departmental "Internal Transfer" Journals (IDI's)
IBM Maximo Work Order System (CUIMC Fac'sWork Order System) Maintain system configuration rules, Process billing of resolved items to recover charges. Prepare the interface file (and transmit to the CUIMC FAC IDI database. Work with departmental managers and supervisors to create meaningful reports from data captured in the database. Manage related add on software such as EZMax Mobile so staff can access the system from a mobile device, as well as EZRequest (web-based request system).
Alcohol Distribution Database (FormRouter/Excel) run interface to populate CUIMC Fac's IDI database, maintain system configuration.
CUIMC Fac's IDI Database is a network resource that accepts feeds (CUIMC Maximo and CUIMC Alcohol systems ) and accepts user entered data (Guest & Voucher Parking, CUIMC Facilities special charges, and recurring charges, Housing charges, CUIMC Faculty Club and Classroom technology charges, and CUIMC Public Safety). This data is then processed into the standard ARC Internal Transfer interface format. Maintain system configuration, Update COA Extracts weekly or as needed, Maintain SFTP server (ARC COA extracts, Parking payroll deduct file, Weekly Payroll, and ARC Internal Transfer Feed.) Work to move this to a more scalable platform suitable for wider distribution.

Other Duties: Perform various financial and administrative duties to support the efficient running of the CUMC Facilities Finance team and special projects as assigned.
Bachelor's degree in information systems, computer science or the equivalent in years of educations and experience required and Four years of related experience
