Reporting to Director of Administration. Responsible for developing, managing and reporting on department budget (unrestricted, endowment, & gift accounts) and the Fromm National Music Foundation budget. Provides financial forecasting, analysis and recommendations used in strategic planning. Monitors monthly financial activities and provides reporting to Director and department constituents as needed. Interprets, communicates and implements financial policies and procedures, including independent contractor invites and service agreements.
Works with faculty, graduate and undergraduate student groups on managing research and program budgets, advising faculty and students on financial procedures and funding sources. Assists in applying for and overseeing internal Harvard grants (Provostial, Elson, etc.) and Sponsored research grants. Responsible for special projects and directing faculty and staff with implementation of projects. Has authority to approve or deny expenditures by faculty, staff or students. Ensure financial compliance with University policies and procedures and applicable legal rules and regulations. Supervises the Financial Assistant.
Manages all appointment/personnel actions for temporary & student employees. Oversees Monthly, Bi-Weekly, and Weekly payroll including monitoring and error resolution. Supervises all financial transactions (accounts payable, accounts receivable, reimbursements) and researches and resolves issues. Oversees Escheatable process. Handles year-end closing and accrual process. Understands and handles tax and visa issues related to MA Performer tax and international visitors. Maintains financial records, chart of accounts and financial application access for department. Manages all donations and gift receipts. Timely processing of internal billing and journal corrections. Overseers record management and destruction process.
Successful candidate must demonstrate excellent judgement, attention to detail, proficiency with MS Office, ability to navigate Harvard Financial and Administrative applications, adaptability with new web-based tools, possess excellent organization and communication skills, and team approach in job responsibilities. The ability to deliver work results of high quality while managing multiple projects under time pressure, and ability to function well in a fast-paced, high-energy and changing work environment with minimum supervision.

Bachelor's degree required
Three years progressive administrative management experience
Experience with Harvard financial and administrative systems such as HCOM, Supplier Portal, Pcard, Concur, HART/OBI, Glacier and Aurora preferred
Knowledge of Microsoft Office Suite, intermediate excel skills
Working knowledge of basic financial administration principles
Demonstrated experience with financial systems and data query tools
