Monitor all payroll registers to ensure accuracy. Make adjustments as needed. Maintain payroll files according to audit guidelines.
Serve as Absence and Time and Labor Administrator for the SEIU unit. Manage structure for all time and labor and absence groups.
Serve as the point person for employees for payroll, time and labor, and absence questions. Provide basic training to staff as needed.
Process and adjust PeopleSoft access requests and transactions, run PeopleSoft reports, and research PeopleSoft questions as necessary.
Assist with the administration of the annual salary increase process (ASIP) which may include the development and distribution of letters in support of the transaction.
Maintain Personnel files for all active and termed Arboretum employees.
Maintain employee data in Midas, including new hire set up.
Ensure new hires are set up with Harvard email accounts, completing the required form.
Responsible for being part of the PTR (position tracking) workflow in PeopleSoft.
Monitor LHTs and Temps to ensure that they are not exceeding the number of hours or number of months they are permitted to work.
Serve as a backup for the new hire I-9 process.
May serve as back up for the Hire Right background/CORI check and testing programs.
Keep track of all temporary appointments, visiting scholars, visiting scientists, etc.
Coordinate or assist with the immigration process in partnership with the Harvard International Office for all visitors requiring documentation.
Assist with maintaining labor law postings.
Assist with other administrative duties and special ad hoc projects as needed.
Process vendor invoice payments.
Originate new vendor W-9 forms for processing and send it to Financial Associate for approvals.
Responsible for maintaining invoice files.
Ad hoc projects and assignments, as required by the Director of Finance.
The location for this position is 1300 Centre Street, Roslindale, MA.

Minimum of three years of related experience.
Proficiency in Peoplesoft and MS Excel.
Bachelor's degree preferred, or an equivalent of education plus relevant experience in an office environment.
Must be committed to providing the highest level of customer service and responsiveness. Excellent written and oral communication skills.
Able to handle highly confidential information with appropriate discretion and sensitivity required.
Able to prioritize duties and meet multiple deadlines.
Able to exercise a high degree of judgment to make sound independent decisions.
Must be detail-oriented, able to work independently with minimal supervision.
Familiar with Harvard's financial systems and policies highly desirable.
Ability to generate reports and present data in useable formats.
Prior Harvard experience preferred.
