Under the supervision of the Senior Finance Lead for Berklee Online the Finance Associate is a multi-faceted role performing a variety of financial and operational functions supporting the day to day tasks of the team.
Student/Customer Service Facing
Handles incoming phone and email communications from online students, families, and prospects. Check voicemail and responds to students within a timely fashion. Provides customer service to both internal and external customers on student account related matters.
Assists students with various questions regarding their tuition statements including payments, tuition balances, payment plans, financial holds, and refunds.
Connects with online students to review their outstanding balances, and instructs online students regarding their financial obligations throughout their enrollment in online programs.
Audits and analyzes online students' accounts to verify the information is current and accurate
Receives and processes checks, wire and credit card payments against student accounts.
Provides Cash Receipt sessions to the business office for deposit on a daily basis.
Assists in preparation of special billings to third party payers of student accounts. Follows up on outstanding receivables related to third party partnerships as needed.
Provides applicants, students, and their families information about available sources of financial literacy, and tuition assistance.
Performs student service functions including assisting students with registration questions/processes; add/drop procedures, and refund policies.
Performs special projects as requested, assists in obtaining information for audit requests and ad-hoc reports
Prepares Cost Verifications for Military Students as necessary
Supports the student refund processes, including processing credit balance refunds monthly.
Supports the processing of all author and faculty related compensation requests
Analyzes and monitors revenue and expenditures for assigned department budgets.
Works with different types of data including billings, revenues, costs, inventory and end-user data, and summarizes key information for the team.
Prepare invoices for payment and ensures they are submitted in a timely fashion.
Handles all billing discrepancies and payment related inquiries from vendors.
Creates payment requests for royalty advances, and development fees.
Creates sales invoices for partnerships, and records customer payments.
Creates purchasing requisitions within the college's financial system.
Maintains customized computerized legacy systems, and reconciles general ledger activity with College ERP
Prepares monthly accounting journals and financial schedules for revenues and balance sheet details.
Supports Royalty Statement Processing
General Office Filing
Supports Contract processing as needed
Orders office supplies as needed
General office mailings
Check and open office mail daily
Other projects and or duties as assigned.
Knowledge and Skills Required/Desired
Prior experience in a customer service role, working with customers and or students
Experience in Higher Education, a plus
Experience with Workday and/or Salesforce a plus
Excel/Google Sheets experience highly valued
Excellent written, verbal communication, and organizational skills.
Must be proactive, self starter.
A pleasant friendly attitude, and service oriented approach a must.
