The Director of Finance and Administration reports to the Executive and Artistic Director. This role provides management and oversight of all financial and administrative operations for Performance Santa Fe. The spectrum of responsibility ranges from day-to-day operations to long-term financial strategy and annual budget planning alongside the Executive and Artistic Director, while filing and reporting all transactions in accordance with GAAP. The Director of Finance and Administration also supports the Board of Directors’ Finance Committee as needed.
Adhere to PSF Financial Policies and internal controls
Monitor budget and cash flow throughout fiscal year
Prepare and processes payroll and benefits for all PSF staff
Establish and comply with a system for all payables and receivables, making deposits and monitoring all accounts
Reconcile bank, ticketing and CRM database statements for monthly financial, development, and cash flow reports
Assist Executive and Artistic Director with budget planning and mid-year (6x6) forecasting
Serve as primary contact for contracted accounting firm, overseeing and providing all materials for the annual audit and preparing all annual IRS 990 tax forms
Research and manage operating accounts, laddering CDs to maximize potential interest revenue with minimal risk
Provide additional financial reports as requested by the Executive and Artistic Director and the Finance Committee
Stay informed and current on all GAAP developments and policy changes
Manage all IT and office equipment needs, outsourcing as needed (i.e. phone system, printers, computer hardware and software updates, etc.)
File all IRS, State and City tax and regulatory forms and online reports with relevant agencies
Identify and establish new internal processes to maximize office and environmental efficiency (gift processing, records, back-up documentation, etc.)
Track and post all credit card transactions and reconcile statements regularly for accuracy and oversight
Review and research potential improvements to employee benefits package
Process Accounts Payable and tax documentation for all aspects of production (i.e. artist fees, expense reimbursement, contract labor, licensing fees, W9 and 1099 forms, etc.)
Review contracts and invoices for accurate accounting and reconciliation
Provide database support for Box Office as needed
Build and customize financial reports for Box Office and Development as needed (i.e. grants, receivables, etc.)
Cross reference Tessitura and QuickBooks reports for accuracy upon production settlements with artists and venues
Carry out any such general responsibilities as the Executive and Artistic Director may reasonably require
About Performance Santa Fe
For more than eight decades, Performance Santa Fe (PSF) has represented the very best music, dance and theater, building loyal audiences in its host city and region. PSF began its organizational life as the Santa Fe Community Concert Association in 1937 as a presenter for the Columbia Artists Management Community Concerts program. As it grew, its name became Santa Fe Concert Association and then rebranded as Performance Santa Fe in 2014.
Performance Santa Fe has grown into one of the premier presenting organizations in the region and is a key contributor to the robust Santa Fe arts community. Classical music has been at the core of PSF’s programing from its genesis. In recent years, while keeping to the organization’s commitment to present world-class artistic experiences and arts education opportunities, PSF has strategically expanded its multi-disciplinary programming to include the highest quality artists in jazz and contemporary music, as well as dance, theater, world music and spoken word.
Performance Santa Fe is governed by an 18-member Board of Directors led by President Michael Brown. Chad Hilligus was appointed as Executive and Artistic Director in July 2019.... The Foundation, a separate 501(c)(3), oversees the company’s investment fund and shares five of its seven board members with PSF. Performance Santa Fe also boasts a thriving arts education initiative comprised of its Sostenuto and Bravo!Kids programs, both of which provide life-changing opportunities to local students at absolutely no cost to them. The approved operating budget for the current 2019-2020 season is just over $1.5 million, which includes $850,000 in projected contributed revenue.
