Rhode Island School of Design is pleased to announce a part-time opportunity for an Administrative Assistant in the Finance & Administration office. This talented professional will provide a wide variety of routine administrative duties, which may be of a politically sensitive nature, in support of the SVP in order to help ensure the smooth and efficient operation of that office. The Administrative Assistant serves as the central point of contact and liaison for the internal community and external strategic partners, interacting with all levels of the RISD community concerning activities of the division. This role manages the SVP's dynamic calendar, coordinates travel arrangements and meetings (recurring and singular), assembles and distills information from a wide variety of sources and prepares correspondence, agendas, and other documents as required. In addition, this position tracks departmental expenditures and processes billing, expenses and other routine tasks, offering administrative assistance to other members of the SVP's team as appropriate. The successful candidate must possess strong communication skills (written and oral) to transmit information to all levels and segments of the institution as necessary.
Coordinates and manages all aspects of the calendar and assists the SVP to stay on schedule and prepare for meetings and presentations. Assures that all meetings are scheduled and that meeting requests are responded to appropriately. Proactively identifies and resolves schedule conflicts.
Serves as the first point of contact for the office. Screens incoming correspondence and calls; receives visitors to the office. Represents the SVP in a professional manner at all times, ensuring needs and requests are handled promptly and appropriately. Capable of orchestrating triage and multitasking during periods of intense activity and demand. Builds and maintains strong relationships with key contacts across campus.
Monitors the budget and processes payments and invoices; manages credit card charges for the SVP, ensuring all charges are coded properly and in accordance with Internal Audit guidelines.
Ensures smooth daily operations of the office, orders office supplies, arranges service calls when needed, manages venue and catering needs, plans gatherings, trainings, off-site retreats.
Associates degree or equivalent combination of education and experience required.
At least three to five years administrative support experience required with experience working in an academic environment preferred.
Demonstrated experience with and knowledge of PC and/or Apple computer/s used in office administration required.
High level of functionality in the use of Microsoft Office Products, such as Excel, Word, and Power Point.
Proficiency use of calendaring software required.
Proven problem solver with resourceful approach; demonstrated initiative, excellent interpersonal skills; attention to detail; basic math skills; strong oral and written communication skills; ability to multitask; and work in a fast-paced environment.
