Under general supervision, provides administrative support, coordinating all administrative activities of the department while supporting the leadership team including direct support to the Executive Directors of Finance. Incumbent must demonstrate initiative, resourcefulness and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Coordinates the clerical and administrative staff workflow through the office. Coordinates and administers Human Resources and Payroll functions and participates in budget review and financial processes.
Additional duties may include:
Provide administrative support to the Finance Management Team including direct support to Associate Directors and Executive Directors of Finance.
Manage meeting and appointment scheduling.
Coordinate logistics for meetings, arranging for equipment, catering and providing on-site support, as needed.
Process and track expense reports in Concur.
Maintain departmental administrative files, project and vendor contracts.
Process invoices, generate check requests and track payment activity.
Assist with vendor relations and research outstanding invoices.
Initiate purchase orders and place orders for marketing collateral and other items in PeopleSoft.
Generate presentation documents, copying, filing, travel arrangements and other tasks related to the activities of the Finance Management Team as needed.
An understanding of the healthcare industry is highly desirable.
