WITS is the largest volunteer force providing mentorship to students and professional development to teachers in Chicago public elementary schools. Each year, our combined, volunteer and teacher professional development investments in Chicago Public Schools (CPS) are valued at $3.4 million. WITS sets students on a trajectory for success by building critical literacy skills and developing positive self-identity through teacher led professional development and volunteer powered mentorship programs. We are the premier literacy organization in Chicago - engaging 200 teachers, more than 70 corporate and community partners, and activating 1,500 volunteers to drive students towards reading proficiency in 80 public elementary schools annually.

What You Will Do
The primary function of the Office Manager is to organize and coordinate daily operations and financial procedures in order to ensure organizational efficiency. This individual works closely across all departments in managing administration and financial processes and create cost effective solutions related to programs and operations.
Major Duties and Responsibilities
Manage all gift processing, gift data entry, and reconciliation.
Manage online fundraising including reconciliation and monthly recurring donations.
Manage acknowledgement letter and gift recognition process.
Manage weekly and monthly financial reports, working directly with staff and WITS accountant.
Manage all credit cards and monthly reporting.
Manage in-kind gifts and acknowledgements; responsible for data entries of gifts, acknowledgement letters, and organization of forms.
Key contact and manager of Salesforce database. Maintain and implement processes around data integrity.
Train other staff as needed on Salesforce database.
Manage relationships with outside vendors, including IT, Printing, and Databases.
Closely manage calendars of WITS Executive staff and internal Team calendar.
Manage new hire on-boarding process.
Work closely with Accountant and CEO on year-end financials and audit.
Order and maintain relationships with supply vendors for all WITS programming.
Main point of contact with transportation vendors, working directly with vendors on routes and budgets.
Manage school coordinator payroll.
Handle all postage and mailing for organization.
Other duties as assigned.
