Under the direction of the Director of Budget and Finance, the Finance Coordinator will provide financial assistance and oversight in the areas of bank reconciliation, purchasing, accounts payable, accounting, inventory control, repair and maintenance of equipment and special projects.
Finance & Accounting: -Assists Department Administrator and Director of Budget and Finance with special projects and data analysis -Prepares monthly journal entries using ARC to log all bank deposits, allocating practice expenses to the clinical faculty accounts, including salary allocations for support staff -Reconciles bank deposit activity to practice management system -Prepares monthly upload spreadsheet for Faculty Practice expenses, including Department taxes. -Prepares journal entries for departmental expenses and accurately allocates expenses -In collaboration with the Director of Budget and Finance, he/she implements and monitors budget parameters, including preparing variance reports with explanatory data. Identifies potential over-drafts and apprises Director of Budget and Finance of impact. -Processes departmental deposits via the Bursar's Office (donations, and other payments to the department) -Communicates with the CUIMC And NYP Development Offices regarding receipt and acknowledgement of donations -Prepares interdepartmental invoices as needed -Assists in fiscal year-end closing; prepares documentation needed for purchase/contract orders and other open commitments -Prepares Quarterly Schedules for review and submission to the Controller's Office -Verifies and cross-checks journal entries and physicians accounts -Prepares financial reports as requested
Accounts Payable and Purchasing: -Investigates use of new vendors and processes compliantly -Reviews invoices for payment initialization -Liaison to Columbia University, NYP Purchasing and vendors -Prepares purchasing requisitions and contracts -Maintains inventory of purchased medication -Negotiates vendor contracts -Initiates P-Card transactions, uploads confirming documentation for reconciliation -Conforms to all applicable HIPAA, Billing compliance and safety guidelines -Cross covers other related financial and administrative positions and performs other duties as assigned.
Requires a bachelor's degree or equivalent in education and experience, plus three years of related experience
Successful experience working independently in roles requiring accuracy and attention to detail.
Demonstrated ability to develop and maintain effective working relationships with faculty, colleagues and staff.
Must possess excellent written/oral communication and organizational skills.
Must be proficient in Excel, pivot tables, data warehouse, reporting tools, queries and report preparation.
