The Office of Financial Services (OFS) includes Research Administration, Financial Operations, Financial Strategy & Planning, and the Academic Department Financial and Sponsored Research support teams. OFS supports the School's mission by acting as the primary institutional fiduciary and steward for all financial resources, ensuring funds and awards conform and are managed according to sponsored guidelines, donor terms, and University policies. OFS research administration serves as a central resource for the research community through the provision of expertise and leadership in obtaining and managing research funds. OFS oversees financial and sponsored operations and maintains internal controls.
The Finance Associate will support innovative research at the world's leading public health research institution. Areas of research are focused across nine academic departments which include Biostatistics, Environmental Health, Epidemiology, Genetics & Complex Diseases, Global Health & Population, Health Policy & Management, Immunology & Infectious Disease, Nutrition and Social Behavioural Sciences. The Finance Associate will work primarly with one academic department but will have an opportunity to be exposed to research happening across the School.
The Finance Associate will report to the Associate Director of Finance, but will work with minimal supervision to support the management of the three major service centers (cores) for the Department of Biostatistics. This will require a high level of financial analysis and reporting to ensure compliance with School policy. The Finance Associate's duties and responsibilities include, but are not limited to, the following:
Serve as business manager for the Biostats department service centers, which runs a consulting service center for a wide variety of clients (internal to Harvard and with external organizations
Work closely with the Directors of the centers and the ADF to provide financial and strategic advice
Interface with current clients and with potential new clients
Prepare financial proposals for new clients/prospects
Process monthly invoicing for all internal and external clients, and work with Harvard Accounts Receivable to collect on overdue accounts
Review and approve transactions as needed, ensuring compliance and accuracy, including invoices, journals, and personnel actions
May assist with post-award activities when needed.These include:
Creating budget reconciliation and forecasting reports, and using these reports to meet regularly with faculty to review their financial situations
Reviewing and approving all expenditures
Ensuring compliance with requirements such as effort reporting
Submitting payroll changes for faculty and staff as well as timely journal entries as necessary, grant close-outs, etc.

5+ years of related experience required, with 2+ of those years of experience in finance, grants management, or experience working in an academic environment required. Education beyond high school may count towards experience
Bachelor's Degree (in Accounting, Finance, or related field) and/or Certified Research Administrator (CRA) preferred
Experience with Harvard policies and systems (GMAS and Wasabi) preferred
Experience in an academic, hospital, research or related environment preferred
Experience working with research faculty on grants and contracts preferred
Experience managing complex awards and working with a variety of sponsors preferred
Advanced working knowledge of research compliance issues and of key federal grant regulations preferred
Excellent organizational and time management skills preferred
Excellent written and verbal skills preferred
Intermediate Excel skills preferred
Outstanding attention to detail preferred
Understanding of human subject use, animal use and other research compliance areas preferred
Problem solving skills and flexibility preferred
