Pratt Institute in Clinton Hill, Brooklyn is currently hiring a Finance Manager to work with three of its research centers. The Finance Manager will be responsible for all bookkeeping and accounting for three research centers at Pratt Institute – the Spatial Analysis and Visualization Initiative (SAVI); the Consortium for Research and Robotics; and the Brooklyn Fashion and Design Accelerator (BF+DA). These centers are run by professional staff and Pratt faculty members, and employ professionals as well as Pratt Institute students in a variety of departments at the Institute.
SAVI is an interdisciplinary education, consulting and research hub at Pratt founded in 2013. It provides instruction, technical support, and resources to Pratt students and faculty across disciplines and to external clients with a focus on non-profit and community-based organizations. It also performs academic research with internal and external partners and offers a GIS & Design certificate program through the School of Continuing and Professional Studies. SAVI is located on the Brooklyn campus in the lower level of the ISC building.
The Consortium for Research and Robotics was founded by Pratt in 2014. Offering unique facilities, location, professional and academic networks, and various other resources, the Consortium has instantly become a landmark in New York City and the World. The Consortium is located in the Brooklyn Navy Yard.
BF+DA provides space, mentorship, and access to a network of experts that range from design, production, future technologies, business development, and environmental and social impact. It provides traditional apparel production for runs from one to one hundred units. Its digital fabrication lab includes laser cutters and 3-D printers and a lab for textile innovation. It offers showroom space, retail space, conference rooms, and 30 onsite studio spaces equipped for fashion, accessory, product, and media designers. The BF+DA is located in the Pfizer Building on Flushing Avenue in Brooklyn.
Supervised by the Assistant Provost for Academic Administration, the Finance Manager will work collaboratively with the Directors of the three centers to manage the centers' budgeting, accounting and bookkeeping systems. Duties will range from setting up and monitoring budget systems to processing invoices to preparing financial reports. The Finance Manager will be housed at Pratt Center for Community Development on Pratt's Brooklyn campus and will work under the general guidance of Pratt Center's Assistant Director for Finance. In addition, the Finance Manager will spend some time at each of the three centers as space and time allow.
Prepare annual budgets for centers by assisting directors with formulation of budgets, integrating expense requests and needs into the funding availability and appropriate funding source, reviewing all requests to ensure compliance with policies and accounting systems of Pratt Institute and relevant funding sources.
Monitor all of the centers' accounts to ensure that projects remain within approved allocations (i.e., generate and approve budget transfers, review funding re-allocations requests, monitor accounts to ensure accurate accounting by Institute finance departments, etc.); direct the annual closing of the centers' accounts. Assist staff to develop project and program budgets and to monitor spending on a monthly basis.
Process invoices received by the centers from consultants and vendors, and monitor payments; execute invoices for center services rendered to outside entities as directed by center directors; process reimbursement requests. Process purchasing orders and pay purchasing invoices. Prepare purchase requests through Purchasing Department, ensure all purchases are made in line with institutional policies. Set up BPOs for Center's rent and utilities expenses.
Review proposals and contracts; ensure compliance with requirements stipulated in contracts and grants. Provide all information and documentation necessary for execution of contracts and grants.
Assist the center directors in liaising with a variety of external offices (i.e., campus operations, budget, comptroller, payroll, etc.); work with internal departments to prepare and generate information/reports needed to support and document contracts and grants.
Oversee the centers' time and leave usage and reporting in conjunction with human resources.
Manage the hiring paperwork for any student workers employed by the Centers. Assist Center Directors in the preparation of Academic Stipend requests, Personnel Action Forms, and other paperwork as needed.
Prepare financial reports for internal and external agencies; prepare and/or review funds management reports showing patterns, rate and percentage of utilization for restricted funds. Prepare reports for Center programs for auditing purposes.

Education: Bachelor's degree required. Preferred degree in financial management, non-profit management, accounting. Other educational backgrounds will be considered with relevant experience.
Experience: 2+ years' experience working with or overseeing financial systems, grant and contract administration, budgets, and accounts. Experience in higher education or non-profit environment preferred.
Knowledge and Skills: High degree of proficiency with accounting and bookkeeping systems, spreadsheets, and accounting software; some exposure to working with mainframe applications. Excellent verbal and interpersonal skills are required. Must be able to work with internal teams, government agencies and private corporation personnel in a collegial and businesslike manner.
