California State University, Fullerton is searching for an Associate Director, Academic Operations and Finance for the Office of the Provost Vice President of Academic Affairs with excellent communication, management, accounting, critical thinking, research, and organizational skills as well as the drive to provide leadership and foster relationships within the organization to ensure the successful development and implementation of department and university goals and objectives. Under general direction of the Assistant Vice President for Academic Operations and Finance, the Associate Director works independently and exercises considerable latitude in a collaborative, high-volume, fast-paced and detail-oriented position. Manages daily processing operations and supports strategic priorities through skilled management, execution, and coordination of budget and finance processing matters for the division. Interprets and executes policies. Researches/negotiates/contributes to and establishes guidelines, procedures and training materials to facilitate division budget/revenue/expenditure/pay processing.
Provides high-level oversight and regularly directs college/unit analysts, coordinators, assistants, staff and managers on division budget/expense/pay administration tasks and projects. Works independently with units across campus to influence/implement/ document/communicate procedures or required actions. Researches and rectifies issues, facilitates timely and proper processing, and initiates or coordinates conversations to bring prompt closure to problems and operational concerns. Manages tracking, timely receipt, distribution, and spend down of a growing portfolio of funds from varied sources.
Designs wide variety of regular and ad-hoc reports and tools, and performs complex assignments, analysis and research to support planning, decisions and allocations. Ensures data integrity and the proper use of funds; maintains up-to-date and accurate records for historical tracking and sharing of information. Gives direction to and manages work in specifically assigned areas; contributes to, provides advice on, and simultaneously manages many multi-faceted and diverse projects independently and effectively.
Is the lead "go to" person on division budget and finance processing matters. Incumbent disseminates information, advises, and provides training and reinforcement to ensure compliance with division, campus, CSU system, and state policies, procedures and guidelines related to budget/expense/pay processing. Conducts complex research and analysis to support division budget and finance operations. Other duties as assigned.
Essential Qualifications: Bachelors degree from an accredited four-year college or university in a field related to the position, such as Business Administration, Accounting or Finance. A minimum of 7 years of progressively responsible experience in financial analysis and reporting, budget and expense administration and oversight, policy and procedure implementation and follow up. Exceptional technical skills related to detailed data extraction/compilation plus complex reporting, review and analysis of financial data with a high level of proficiency with Excel, Pivot Tables, Microsoft Word and PowerPoint. Successful candidate will have an unwavering attention to detail, will work with a high degree of accuracy and focus, will exercise good judgment, maintain confidentiality and be reliable and dependable.
Demonstrated ability to effectively communicate verbally and in writing, with individuals at all levels and across divisions; knowledge of English grammar, spelling and punctuation is required. Is able to maintain positive and supportive relationships in a diverse environment, have strong service acumen, and show consistent initiative to work independently and in a team environment to manage workload and multiple or changing priorities.
