The Academy of General Dentistry currently seeks an Administrative Coordinator to support our Finance department.
Under the direction of the Chief Financial Officer, the Coordinator, Finance and Administrative properly organizes and manages the financial objectives and policies and provides administrative and financial support consistent with the goals and objectives of the association and when instructed, in compliance with generally accepted accounting and auditing principles. S/he assists the Chief Financial Officer and staff by coordinating finance related activities within various departments for the organization(s). Assist with organization activities and special projects as directed.
The Administrative Coordinator, Finance will have the ability to perform the following functions:
Ensure contracts are properly executed and maintained.
Coordinate Board Committee and Task Force meetings including scheduling and supporting video conferencing, creating agendas, compiling meeting minutes and following up with open items.
Support department audit standards including but not limited to:
Maintaining close logs – updating team’s status and ensuring date, preparer and reviewer info is up to date,
Reviewing reconciliations – ensuring totals tie to the general ledger, preparer and reviewer info is up to date,
Maintaining list of custodial responsibilities for accounts, reports, signing authority, etc.,
Support vendor management.
Assist in the preparation of internal and external monthly reports by incorporating information from staff into a cohesive document and creating dashboards.
Back-up for Accounts Payable and Accounts Receivable processing when staff is out of the office.
Bachelor’s degree in related field or High School Diploma and equivalent experience.
We require three to five years of professional experience in administrative and related field. Association or other not for profit environment preferred.
Experience in Great Plains ERP suite preferred. Ability to work in multiple software applications. Prior experience in accounting and budgeting preferred. Advanced Microsoft Word, Excel and PowerPoint.
The ideal candidate will possess superior organizational skills with the ability to handle multiple projects simultaneously. Strong written and oral communication skills with exceptional attention to detail. Possess exceptional PC skills, proficiency in the use of computerized spreadsheets and ability and willingness to learn new software and programs. Communicate effectively and excellent customer service skills .
Must be flexible, adaptable, work on a wide variety of tasks in a team environment, and outstanding problem solver with sound judgments. The ability to meet deadlines, set priorities, work independently and proactively, handle highly sensitive information, and maintain strict confidentiality. Be able to work additional hours as needed.
