Overview The University of Minnesota Foundation (UMF) is a key partner with the University in building and sustaining excellence among students and faculty, and fueling discovery in important areas. The Foundation accomplishes this by raising gifts and other private resources, investing and managing endowed funds for long-term growth, and stewarding gifts to ensure they are used as donors intend. This position will be responsible for gift administration activities and providing administrative support to the CFO and Finance Team.
Responsibilities 1. Provide Administrative and Budget Support to VP, Finance/CFO, Controller and Finance Managers (25%) - Coordinate calendar for VP and make occasional travel arrangements; research and respond to telephone inquiries for VP and coordinate related action plans; handle miscellaneous correspondence, copying, filing, mail distribution. - Facilitate document executions (i.e. contracts, memorandums of agreement, Sarbanes Oxley reporting), including reviewing and organizing materials, clarifying policy and issues, obtaining signatures and ensuring proper distribution and record retention. - Participate in the annual budget coordination, compilation and monitoring for the Finance Department.
2. Lead or participate in Special Finance or accounting projects and duties as assigned. (40%) - Fund Maintenance - Tax compliance administration (K-1 recordings, mailings, etc.) - Process gifts of securities during high volume periods. - Cross train on other day to day accounting and gift processing activities and provide back-up as needed.
3. Meeting Planning, Coordination and Presentation Development (25%) - Create presentations for various Finance meetings working in conjunction with the VP/CFO and other Finance managers. Develop presentation materials for a range of initiatives including annual budget presentations, employee orientations, Trustee Finance and Audit Committee meetings, Colligate Finance meetings, University Gateway Corporation Finance Committee and Board meetings, and other ad hoc meetings. - Coordinate and facilitate Finance department meetings, including coordination of the guest list and logistics; developing meeting content and presentation materials; and coordinating all related activities. - Organize, develop and coordinate agendas for monthly Finance staff meetings.
4. Plan and coordinate team building events and employee recognition (10%) - Facilitate Finance team participation in UMF-wide activities. - Solicit ideas, develop and organize Finance team-building activities - Develop and implement protocol for recognizing team member birthdays, retirements, and other special events.
Required - Bachelor's degree or a combination of education and relevant nonprofit experience to include executive administrative experience, gift processing and/or accounting or book keeping experience to total at least four (4) years. - Demonstrated customer-service experience. - Demonstrated project management skills. - Advanced PowerPoint proficiency, including embedding and editing Excel worksheets; adding sound and movie clips, scanned images and animation effects; and creating/editing custom slide shows. - Proficient knowledge of PC software including intermediate experience with Microsoft Word and Excel, to include mail merge; inserting clipart, text boxes and photographs; downloading and changing default templates; and changing margins, page orientation and paper size.
