The Society’s mission is to improve patient care by promoting research, education and optimal health care policies and standards. HRS represents more than 5,500 cardiac pacing and electrophysiology professionals in over 70 countries. HRS currently has an annual budget with operating revenues of approximately $18 million.
As the Director of Finance and Business Operations, you will be charged with oversight and management of the day-to-day functions of finance and accounting. Specific responsibilities include oversight of the annual budgeting and projection cycles, accounting processes, insurance, compliance, and audits. This position also supports the Chief Operating Officer (COO) in management of corporate infrastructure including Human Resources, Business Operations, and Information Technology.
This position reports to the COO and manages staff, vendors, and consultants responsible for the finance function.
Essential Job Responsibilities
In this role you will be responsible for the following (please note that some of these responsibilities are handled with support/guidance from our outsourced financial consultant firm):
Establish, monitor, and enforce an internal control system to safeguard HRS assets.
Develop and maintain a financial policies and procedures manual.
Ensure accurate accounting records and reporting structures for monthly financial reporting to budget owners, senior staff, volunteer committees, and Board of Trustees.
Ensure that all financial obligations are paid on a timely basis through the outsourced automated accounts payable provider, AnyBill.
Develop and maintain banking relationships.
Direct and manage the annual budgeting and projection processes.
Develop financial reporting, budgeting and other training for HRS staff to foster a better understanding of business processes within the organization.
Respond to inquiries from staff regarding budgets, receipts, disbursements, chart of accounts, and special reporting requests
Cultivate an environment of customer service between Finance and other HRS departments.
Ensure state charitable filings are properly managed.
Oversee the monthly preparation of financial statements.
Perform financial analysis of operating results.
Provide monthly variance analysis and commentary.
Meet with managers, at least monthly, to discuss issues or questions relating to their financial reports.
Direct and manage the annual audit process with external auditors.
Manage relationship with investment advisors and oversee investment accounts.
Ensure that HRS and affiliates meet all regulatory and legal reporting requirements.
Ensure all tax returns are filed on a timely basis for all entities.
Oversee annual insurance requirements and compliance audits.
Ensure the integrity of all systems contributing to the financial records of all the entities.
Oversee activities of overall Business Operations that includes physical plant, emergency procedures, facilities, office machines, security, office inventory, and conference room logistics.
Support the COO in management of corporate infrastructure including Human Resources and Information Technology.
Oversee a variety of special projects as requested by the COO.
Staff/Operational Leadership Responsibilities
Cultivate a financial orientation to planning throughout the organization.
Collaborate with the COO and leadership team in the development of goals and priorities that align with the Heart Rhythm Society’s strategy.
Manage and develop staff.
Manage consultants and vendors that provide critical support to the finance function.
Represent HRS in external relationships.
Essential Experience, Skills and Competencies
Bachelor’s in a business-related field. Accounting degree preferred.
Ten or more years of broad accounting/finance experience. Nonprofit experience preferred.
Five years in a management capacity; with staff management responsibilities.
Five years experience in HR, IT and overall Business Operations preferred.
Microsoft Dynamics GP and Salesforce experience considered a plus.
Ability to work collaboratively with colleagues and staff to create results driven, team-oriented environment.
Strong verbal and written skills.
Ability to initiate and drive change initiatives
