Position Summary: Responsible to the President of the Academy for financial, operational and personnel matters and for establishing financial and administrative objectives, policies, programs, and practices consistent with the Board of Trustees policies and legal guidance. Must be able to demonstrate strategic understanding of all operations of a school.
Essential Duties and Responsibilities include the following. Other duties may be assigned at the discretion of the President.
Supervise the Business Office Controller, Accounting Supervisor, and Food Service Contractor.
Approve all financial obligations; execute leases, loans, real estate transactions, contracts and other actions requiring a commitment or receipt of financial resources. Manage operational cash flow by maintaining adequate sources of borrowing, executing approved draws from endowment, and investing excess cash in short term funds in accordance with established policy.
Manage banking, loan, and lease agreements. Receive, account for and disburse monies and securities received by the academy. Assess the financial requirements implicit in the Long Range Plan and develop alternative ways in which financial requirements can be satisfied.
Maintain accurate financial records, prepare periodic financial statements, and report on financial affairs of the Academy to the President and Board of Trustees. Comply with formal reporting requirements of financial institution relationships.
Supervise accounting for the endowment fund, and ensure gifts of cash, stock and gifts in kind are applied to appropriate gift categories.
Oversee preparation of financial records for annual independent audit and assist the audit team in preparation of financial statements/schedules.
Oversee the Academy 401K plan and serve as the plan administrator, ensuring compliance with regulations, conduct plan testing, prepare annual disclosure statements for plan participants and complete 5500 tax return.
Prepare and submit annual Massachusetts tax form 3ABC.
Prepare, in conjunction with the President, annual budgets and financial forecasts. Through this process make recommendations and provide justification for setting annual tuition and fees to the board of Trustees.
Supervise and manage human resources functions including writing, implementing and maintaining appropriate personnel policies. Oversee payroll and benefits programs including health insurance and retirement programs. Ensure all programs are in compliance with federal and state laws and regulations.
Administer all staff personnel issues including evaluations, compensation, and hiring. Assist the President in handling personnel matters, including terminations.
Maintain an effective and efficient system of internal management controls throughout the academy. Address issues resulting from independent financial audits and internal management audits.
Manage institutional risk to ensure the safety of personnel and students in their use of facilities; Implement appropriate safety policies and maintain appropriate levels of insurance to protect property and cover the liability of the school and the school’s employees and directors.
Work with Administration on use of facilities by outside organizations.
Work with facilities director to manage long term capital budget including a facilities needs assessment.
Assess the school’s transportation needs and oversee the management of the shared transportation program with Catholic Memorial.
Work with Admissions Officer on enrollment trends. Chair the financial aid committee and administer financial aid decisions.
Organizational Relationships/Supervisory Responsibilities: Directly accountable to the President and the Board of Trustees for the performance of all responsibilities related to financial management. Responsible to the President for Operational and Personnel matters. Serve as staff liaison to the Board of Trustees Finance Committee, Investment Committee, and Audit Committee. In the absence of the President, responsible for managing all financial, operational, and personnel issues and representing the external interests of the school.
Develops innovative solutions to the challenges in the areas of financial strategies, financial analysis, reporting and information dissemination to management, use of appropriate systems and technology, and cost-effective use of resources.
Oversee risk management, and supervise routine business tasks such as payables, receivables and payroll.
Develop and manage an integrated, automated financial management information system.
Provides advice on all matters to the President and assists the President in the formulation of overall organization objectives.
Develops and implements appropriate training and development opportunities for the Business Office staff.
The ideal candidate will have a minimum of a Bachelor’s Degree in Business, minimum of 5 years experience in business management, preferably in an independent school. Proven ability to work with adults in a leadership capacity.
