The Association of Yale Alumni (AYA) handles university-wide alumni relations programs, events, and initiatives to strengthen alumni relationships with Yale. Reporting to the Executive Director, with secondary reporting line to the Chief Resource Officer-DEVAYA, this position provides AYA with comprehensive financial and business support and serves as division business office liaison.
1. With Executive Director and Chief Resource Officer, support AYA's long-term financial strategy. In coordination with division business office, provide day-to-day financial oversight and guidance on AYA business operations. Establish departmental procedures and controls to maximize accuracy and efficiency; ensure departmental compliance with all aspect of university financial policies; recommend and implement ongoing improvements. 2. Monitor AYA operating budget, conduct quarterly forecasts, and inform leadership of financial risks. Review financial activity for compliance and accuracy. Serve as a primary source of departmental information for division business office. Maintain account balances and handle unreconciled items, e.g., labor suspense, bounces, holds. Establish and maintain University-compliant file system. Perform additional business services as required. 3. Support staff in developing and monitoring budgets for AYA programs and services. Create balance sheet templates for program-specific budgets and provide guidance on financial tracking. Prepare and distribute ad-hoc and supplemental financial reports on AYA accounts. Lead regular budget reviews with senior AYA staff to discuss financial results and help ensure accurate forecasting. Manage AYA's PayPal internet merchant account and related account transfers for event income. 4. Manage day-to-day aspects of Yale's affinity card partnership, including tracking agendas, coordinating promotions, and responding to alumni inquiries. 5. With division business office, help manage goods and services procurement, ensuring policy compliance by AYA staff. Follow up with staff and suppliers to resolve issues. Monitor purchasing card charges; notify clients of outstanding transactions and resolve within policy. 6. Help staff AYA-sponsored alumni activities in New Haven or elsewhere; evening and weekend hours required on occasion.

Preferred Education, Experience and Skills: Proficiency with Yale administrative and financial systems, including Workday and Oracle financial applications, and familiarity with CRM databases. Experience with alumni relations, event management, volunteer management or related fields.
Required Licenses Or Certifications:
Bachelor's Degree in Accounting, Finance or Business Administration and two to five years of related work experience or equivalent combination of education and experience.
