St. Catherine University, St. Paul, invites applicants for a full-time Executive Assistant in the Finance and Administration (F&A) Division. The Executive Assistant to the Finance and Administration Division coordinates and manages the administrative operations of the office of the Executive Vice President for Finance and Administration (EVP)/CFO and provides technical, analytical and data integrity support to the EVP/CFO. This position is integral to the F&A division and its operation. Performance of these duties requires minimal oversight and demands discretion, independent judgment, and tact. As a front facing position for the division, the Executive Assistant should be professional, thoughtful and helpful at all times. Salary to commensurate with education and experience.
Responsibilities include (but are not limited to):
Independently perform advanced and confidential administrative, analysis, and reporting duties requiring broad experience, skill, and comprehensive knowledge of organization policies and practices. Duties include maintaining office operations and EVP/CFO calendar, coordination of meetings, travel itineraries and related arrangements as well as files and other records in an orderly and accurate fashion.
Prioritizes and initiates responses, and ensures information is accurate and meets established standards. Drafts substantial amounts of substantive correspondence on the EVP/CFO’s behalf. Maintains required documentation.
Ensure the continuity, accuracy, and timeliness of correspondence, reports, and other information issued by the EVP/CFO’s office; proactively assists in the establishment, documentation and communication of operating and financial policies and procedures for the University.
Support the EVP/CFO in the strategic planning and process for the Board of Trustees and related committees.
Resolves both routine and complex inquiries of the office, including financial, legal and regulatory matters.
Support Division’s leadership, including the establishment and management of ongoing divisional meetings.
Coordinates a variety of sensitive issues with numerous parties including board trustees, member of the public and senior leadership. Stays informed of issues and concerns involving the EVP/CFO and the university (staff, outside organizations and individuals). Serves as a trusted and effective communications channel for University management and other staff.
High school diploma, BA/BS in Finance, Accounting, Business Administration etc. and/or at least five (5) years of executive level administrative assistant experience required.
Must be proficient with Google Mail, Microsoft Suite, Adobe and an enterprise database systems such as Banner.
Must possess the ability to take minutes and have the writing skills to produce a written record of the Board of Trustee council and committee meetings.
Must be able to prioritize and organize multiple detailed and simultaneous tasks and take responsibility for projects; must be able to work productively with frequent interruptions.
Must be a self-starter and highly organized individual who possess excellent telephone and public relations skills and is appreciative of the confidentiality and impartiality required for an executive office.
The successful candidate must have the ability to respond respectfully and effectively to people of all cultures, in a manner that affirms the worth and preserves the dignity of individuals, families and communities.
Report development using report writing tools, i.e. Argos; accounting experience; system/new process implementation experience helpful as is experience in a financial office with financial software application and working in a non-profit or university environment.
