Reporting to the Office of the Provost, the Director of Finance and Administration supports the management of financial and administrative affairs for the Division for Academic Affairs. This position participates in and supports long range strategic planning, while also providing support and oversight of day-to-day transactions, processes and compliance with university and governmental financial and administrative policies and guidelines. While the incumbent will report within the Office of the Provost, he or she will function in a matrixed environment and work closely with the Division of Administration and Finance to ensure the best and most efficient use of resources in support of the university's strategic plan and academic mission. This position will also work with Risk Management and Human Resources as required. This position will provide excellent service to the faculty and staff in Academic Affairs while maintaining a strong control environment. This is a new position that provides an opportunity to build the role and create a new service center function.
Working with academic and administrative leaders, create a service center that will support administrative and financial functions and transactions in Academic Affairs relating to faculty contracts, salaries and other payments, purchasing and travel expenses, and other financial procedures. Hire, train, and manage staff providing those services.
Prepare budgets, financial reports, projections, forecasts, analyses, and modeling for academic departments and revenue centers in support of strategic planning by the provost and deans. Develop a deep knowledge of budgets, financial strategy, and policies for Academic Affairs and its 17 academic departments and other academic centers and offices. Cultivate strong relationships with deans, department chairs, and center managers across Academic Affairs. Propose solutions to financial and budget issues as they arise.
Work closely with the provost, deans, academic department chairs and revenue center managers to develop and proactively manage departmental budgets and adjustments as necessary. Maintain a strong working relationship with deans, faculty and staff to ensure an understanding of financial priorities and strategy.
Compile data of annual operating budgets, trends of actual expenditures and revenues for analysis; perform analytical analyses of departmental financial activity, including review of budget to actuals/variance analysis. Monitor work-study budgets to ensure compliance with federal and state guidelines and university budgets. Participate in the annual budgeting process. Work with departments and prepare budget requests and reallocations. Provide training on development and management of budgets.
Provide leadership and direction in the implementation of financial and administrative policies and procedures. Ensure all fiscal commitments and expenditures comply with federal and university guidelines.
Provide a positive, customer service environment to faculty and administration throughout the division. Analyze internal processes and recommend procedural enhancements that comply with Administration and Finance policies and procedures. Utilize technology and manage resources to conduct business in the most efficient and effective manner.
Serve as liaison between Academic Affairs and other administrative departments by providing customer service support and problem solving for academic chairs, directors, faculty and other staff. Review all financial and administrative documents prior to approval as designated by the provost, associate provost and deans.
Work closely with management of the Finance and Administration Division regarding University financial and administrative processes. Participate in planning and financial analysis of new and existing programs.
Increased hours or flexibility in work schedule are required during peak budget/forecast periods.
Bachelor's Degree in Finance, Accounting or Economics or related concentration with at least 8+ years' experience in finance, accounting and/or budgeting roles, preferably in an academic or research organization. Strong analytical, oral and written presentation skills. Prior experience managing employees is required.
An MBA/MS and/or a CPA is strongly preferred. Experience in financial planning and analysis is highly desirable. Experience using Workday is a plus.
